How do I translate a death certificate into English?

Check the receiving authority's document and certification rules, then provide a clear copy of the complete death certificate, including seals and attachments.

Confirm the exact document and format required

The institution handling an inheritance, pension, insurance or other case decides which document it accepts and whether an English translation is required. Ask whether it needs a death certificate, a certified copy, an extract from the civil register or another record.

Also confirm whether the translation must be certified, whether an apostille or other authentication is needed, and whether the original or a particular number of copies must be submitted. These requirements vary by institution and destination.

Prepare a complete, readable scan

Avoid glare, blur and cropped edges. Do not edit names, dates or other entries in the scan. If any part is hard to read, point it out when requesting the quote.

  • include every page and both sides if they contain information;
  • keep seals, stamps, signatures and handwritten notes visible;
  • include any attached page or official annotation;
  • share the target language, destination authority and submission deadline.

Check names, dates and family details

The spelling of names should follow the source document unless the receiving authority gives a specific instruction. If a name needs to match a passport or another record, provide that requirement before translation.

Do not assume that similarly named records or different versions of a certificate are interchangeable. If the authority asks for a specific extract or recent issue date, obtain the correct document from the issuing body first.

Before submitting the translation

  • compare names and dates with the original;
  • confirm whether seals and attached notes must also be translated;
  • check whether certification or authentication is required;
  • follow the receiving authority's rules for originals and copies.

Frequently asked questions

Does a death certificate translation need an apostille?

Some procedures or destinations may require authentication, while others may not. Confirm the exact requirement with the authority that will receive the document.

Should I send the whole certificate if only one page has text?

Yes. Send every page and side that contains text, a stamp, seal, signature or note so the translation can account for the complete document.

Can a translation replace the original certificate?

Usually the receiving authority decides whether it requires an original, certified copy or translation. Check its submission rules; a translation does not automatically replace the source document.
