How do I translate a birth certificate into English?

Send a clear copy of the complete birth certificate, confirm the receiving institution's requirements, and state whether it asks for a certified translation or apostille.

Start with the institution that will receive it

Before ordering, ask the embassy, university, employer or public authority which language and format it accepts. Requirements can differ: one institution may ask for a certified translation, while another may give separate instructions about originals, copies or authentication.

A translation into English does not automatically mean that an apostille or another form of authentication is unnecessary. Follow the current instructions for the country and institution where you will submit the document.

What should I send for an accurate quote?

Do not crop edges, stamps or registration details. If a field is blank or difficult to read, leave it visible in the scan rather than guessing what it says.

  • a readable scan or photo of the entire birth certificate;
  • the reverse side and any attached page, stamp, seal or handwritten note;
  • the exact English spelling of names if the receiving authority specifies it;
  • the destination institution, deadline and any written translation instructions.

How is a name or place name written in English?

Personal names are generally transliterated, but the receiving institution may require spelling that matches a passport or an earlier official record. Tell the translator about that requirement and provide the relevant spelling if requested.

Do not change a name or silently reconcile differences between documents. If spellings differ, ask the receiving institution how it wants the discrepancy handled.

Before submitting the translated certificate

  • check that every page and visible stamp was included;
  • compare the spelling of names and dates with your source document;
  • confirm whether the institution needs a certified translation or additional authentication;
  • ask whether it needs the original, a certified copy or a particular number of copies.

Frequently asked questions

Can I translate my birth certificate myself?

A receiving institution may require a translation made or certified by an approved translator. Check its instructions before deciding what type of translation to submit.

Does an English translation need an apostille?

Not in every case. The requirement depends on the destination, document and receiving institution. Ask the authority that will receive your certificate.

What if the English spelling of my name differs from my passport?

Do not alter the source document or guess. Tell the translator and ask the receiving institution which spelling it accepts; provide supporting identification if requested.
